This Privacy Policy describes how hub.fanani.co ("Hub ERP", "we", "us") collects, uses, stores, and protects information when you use our business ERP application, including optional integrations with Google Gmail and Google Calendar.
Hub ERP is operated for authorized employees and partners of our affiliated companies, including CV Radian Fokus Mandiri (RFM) and related entities. Access to the application requires an account issued by your organization administrator.
1. Information We Collect
1.1 Account information
When you sign in to Hub ERP, we process your name, email address, role, company membership, and session activity necessary to operate the service.
1.2 Google account data (optional)
If you choose to connect your Google account via "Connect Google" in Settings, we request access only after your explicit consent. Depending on the features you use, we may access:
- Gmail — read email messages and metadata (subject, sender, recipients, date), send email on your behalf, and update labels/read status when you use Mail features in Hub ERP.
- Google Calendar — view and create calendar events, including attendee invitations when you create events from Hub ERP.
- Basic profile — your Google account email address and name to identify the connected account.
We do not request access to your Google password. Authentication is performed by Google using OAuth 2.0.
1.3 ERP and CRM data
When you link email or calendar items to customers, leads, opportunities, or quotations, we store those associations inside Hub ERP for your organization's sales and operations workflows.
2. How We Use Your Information
We use collected information solely to:
- Provide Hub ERP features you request (mail inbox, calendar, tasks, CRM).
- Sync your connected Gmail inbox into Hub ERP so you can read, reply, and create CRM records (e.g. opportunities) from email.
- Create calendar events and send invitations when you explicitly create events in Hub ERP.
- Maintain audit logs and security for your organization.
- Improve reliability and troubleshoot errors.
We do not use your Gmail or Calendar data for advertising, and we do not sell your personal data to third parties.
3. Google API Services User Data Policy
Hub ERP's use of information received from Google APIs adheres to the Google API Services User Data Policy , including the Limited Use requirements.
Specifically:
- Google user data is used only to provide or improve Hub ERP features visible to you.
- We do not transfer Google user data to third parties except as necessary to provide the service (e.g. hosting infrastructure), to comply with law, or with your consent.
- We do not use Google user data for serving advertisements.
- Human access to Google user data is limited to authorized personnel for security, support, or legal compliance, and only when necessary.
4. Data Storage and Security
- Google OAuth refresh tokens are stored encrypted at rest on our servers using industry-standard encryption.
- Email message content synced for display in Hub ERP is stored in our PostgreSQL database within infrastructure controlled by us.
- All connections to Hub ERP use HTTPS (TLS). Access to ERP data is restricted by authentication, role, and company scope.
- Each user can only access Gmail and Calendar data from Google accounts they personally connected. Users cannot access other users' connected mailboxes through Hub ERP.
5. Data Retention
We retain ERP and synced email metadata for as long as your organization uses Hub ERP and as required for business, audit, or legal purposes. When you disconnect a Google account in Settings, we deactivate the connection and stop syncing new data from that account. Previously synced data may remain until deleted by your organization administrator or according to our retention policy.
6. Sharing of Information
We may share information only in these circumstances:
- Within your organization — CRM records, tasks, and linked email summaries visible to colleagues according to Hub ERP permissions and company scope.
- Service providers — hosting, database, and infrastructure providers that process data on our behalf under confidentiality obligations.
- Legal requirements — when required by applicable law, regulation, or valid legal process.
We do not share Google user data with data brokers or advertising platforms.
7. Your Choices and Rights
- Connect or disconnect Google — You may connect or disconnect your Google account at any time under Settings → Google Integration in Hub ERP.
- Revoke access at Google — You may revoke Hub ERP's access from your Google Account security settings at myaccount.google.com/permissions .
- ERP account — Contact your organization administrator to deactivate your Hub ERP login or request deletion of ERP records associated with your account.
8. Children's Privacy
Hub ERP is a business application not intended for children under 13 (or the applicable age in your jurisdiction). We do not knowingly collect data from children.
9. International Users
Hub ERP is operated from Indonesia. By using the service and connecting Google accounts, you acknowledge that data may be processed on servers located in Indonesia or other countries where our infrastructure providers operate, subject to appropriate safeguards.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top will reflect the latest revision. Continued use of Hub ERP after changes constitutes acceptance of the updated policy.
